How to Read the SMS Messages Report

To run the SMS Messages report:

  1. Click the Reports tab.
  2. Click the More drop-down list.
  3. Click SMS Messages.


SMS Messages Report Overview

This report shows Inbound and Outbound SMS messages sent or received during a given date range. This includes SMS messages of any type - 1:1 (individual message sent directly to the person), Bulk SMS, and Automated Items.

The following sections provide detailed information about each area of the SMS Messages report.


Filter Options

All filter options are listed below.

Option Description
Related To Sale type which the message was "Related to". When an Outbound message is sent to the person, the User can select "Related to" when sending the message. The default is "Membership", but if the Club uses Secondary Sales and the recipient has a sales funnel open for a Secondary Sale type, then this can be selected. For Inbound messages, "Related to" is determined based on which sale type the most recent Outbound message to the person was "Related to" (which message are they likely replying to based on the most recent Sent message).
Date From Start date for date range to display report data for messages that were Sent/Received during the date range provided.
Date Into End date for date range to display report data for messages that were Sent/Received during the date range provided.
Direction Filters on whether the message was Outbound (sent to the lead), Inbound (reply received from the lead), or All (both). "All" is the default report view if no filter is applied.
Send By Filter based on the User that sent the message. Outbound messages are always attributed to the User that was logged in and sent the message, regardless of whether there is an Assigned Salesperson. Automated Items are attributed to 'System'.
Status Filter by the delivery status of the message:
  • Waiting: the message is in queue but has not been sent yet.
  • Sent: the message has been sent. Delivery to handset is assumed; however, cellular network providers do not provide visibility into messages which they have blocked or filtered (to spam).
  • Not Delivered: the message was attempted to be sent but did not deliver successfully, which can happen for various reasons. Please check the Note logs in the History on the person's Client Profile for more specific information about why the message failed.
Campaign Name Shows only messages that were part of a specific Campaign (Bulk SMS). Only displays Outbound messages.

Table

The date attribution of this Table is based on the date on which a message was sent/received in the Club's local timezone, according to the General Settings configuration in Company Settings for the Club.

Column Definitions

Each column in the table is defined below.

Option Description
Direction Direction of the message: Outbound (message sent to person) or Inbound (reply received from person).
Person Name First and last name of the person associated with the message. Hyperlinked to their Client Profile.
Status Current Lead Status of the person associated with the message at the time of report viewing. Updates in real-time: if the person's status changes after the message was sent, this column will automatically update accordingly.
Date & Time Date and time at which the message was sent. Displayed in the Club's local time and date format, according to what is set in the General Settings under Company Settings for the Club.
Message The content of the message that was sent or received.
Send By

First and Last Name of the User that sent the message. Outbound messages are always attributed to the User that was logged in and sent the message, regardless of whether there is an Assigned Salesperson. All Inbound messages are attributed to 'System'. Automated Items are also attributed to 'System'.

Download the Report

When you download the report, an Excel spreadsheet is created with information from the table.
