Filtering on the People Tab

As you add more leads into your GymSales database and as leads move through the sales process, you can run filtered searches to create reports or perform bulk actions based on certain characteristics.

For example, you may want to send a bulk text message to leads who have inquired last month and are still in the Enquiry stage, or run a report to see how many people with the tag of Personal Training came from Facebook Ads in the last 30 days.

Whether it's performing a bulk action item or running personalized reports, the People tab is where you will perform these tasks.

  1. Click the People tab.
  2. Click Refine list to view filters.
  3. Click any of the fields to select the criteria you're looking for. (For more information about filters, see Filter Properties below.)
  4. Click Done when finished, and a list of leads that meet the filter criteria will appear below the filter section.

These steps are illustrated below.  Note: When leaving the People tab, the filters will remain unchanged until you Clear all filters on the bottom of the Refine filter section.

Lead Status

Filter your leads by choosing one or multiple lead statuses:

  • Guest - A prospect who has checked in from the Guest Waiver app; a potential future member.
  • Enquiry - A prospect has visited the facility for the first time.
  • Tour - The prospect has booked an appointment to come in and tour the facility.
  • Trial - The prospect has signed up for a trial membership to use the facility or programs for a limited number of days.
  • Sale - The prospect has signed up for a full membership.
  • Not Interested - An unsuccessful lead.
  • Former Member - Only available if Former Member Status is enabled for the club or business. This status is for people who were once members but are no longer members.
    • If your business is integrated with ABC Fitness' Ignite Membership & Operations, an individual becomes a Former Member when their account is Cancelled, Expired, Inactive, or Returned for Collections (RFC).
    • If your business is not integrated with Ignite Membership & Operations, you must manually change the lead's status to Former Member.

Next, choose a date type.


Date Type

Choose one of the following date types:

  • Created date - The date on which a record was created or captured in Ignite Sales/GymSales.
  • Last contact date - The date the lead was last contacted (outbound SMS/Email/Call) as recorded in Ignite Sales/GymSales.
  • Most Recent Enquiry Date - The date the lead's most recent inquiry, as recorded in Ignite Sales/GymSales.
  • Trial end date - The date on which the lead's Trial membership ends.
  • Sale date - The date on which a person's status on the Membership funnel updated to Sale.
  • Former Member date - This Date Type is only available if Former Member Status is enabled for the club or business. This is the date on which a person's status became Former Member.
    • If your business is integrated with ABC Fitness' Ignite Membership & Operations, an individual becomes a Former Member when their account is Cancelled, Expired, Inactive, or Returned for Collections (RFC).
    • If your business is not integrated with Ignite Membership & Operations, you must manually change the lead's status to Former Member.
    • Please note: The Former Member date filter will show all leads that have ever been placed in Former Member status based on the date when that update occurred even if the individuals are no longer in Former Member status. To see leads that are currently in Former Member status by date, please use a combination of the Lead Status and Former Member date filters
  • Not interested date - The date the lead's status was updated to Not Interested.
  • Last E-mail date - The last outbound E-mail message to the lead.
  • Last SMS date - The last outbound SMS message to the lead.
  • Last Call date - The last outbound Call to the lead.
  • Last Communication date - Unlike the Last contact date which only records outbound communication, the Last Communication date represents the last inbound or outbound (Call/SMS/E-mail) communication with the lead.
  • Last appointment schedule date - The date on which the lead's last appointment was scheduled.

After selecting a date type, select the desired Date Range.


Date Range

Choose the date range for the selected date type:

  • Today
  • Yesterday 
  • This week
  • Last week
  • Last 7 days
  • Last 14 days
  • Last 30 days
  • This month
  • Last month
  • Custom Range

ABC Fitness Status

Filter your leads by choosing one or multiple ABC Fitness statuses:

  • Active - The membership is in an active state.
  • Active - Cancelled - Not used.
  • Active - Expired - Not used.
  • Active - Need Address - The agreement is active, but the member has not yet provided their address.
  • Active - Freeze - The agreement is active, but is currently frozen.
  • Active - Need Phone Number - The agreement is active, but the member has not yet provided their phone number.
  • Active - Non-Member - An active prospect record; either has visits left or trial dates have not yet expired.
  • Active - Pending Cancel - Membership is set to cancel on a date in the future (could be the next day or months from now).
  • Inactive - Cancelled - The membership is inactive due to cancellation.
  • Inactive - Expired - The membership is inactive due to an expired agreement.
  • Inactive - Return For Collection - The membership is past due 90+ days.
  • Inactive - Active - Not used.

ABC Last Visit Date

Choose the date range for the last ABC last visit date.

  • Today
  • Yesterday 
  • This week
  • Last week
  • Last 7 days
  • Last 14 days
  • Last 30 days
  • This month
  • Last month
  • Custom Range

Contact Method

Filter your leads by choosing one or multiple of the available fixed contact methods:

  • Referral
  • Phone-in 
  • Walk In
  • Internet
  • Guest Visit
  • Outreach
  • Corporate
  • Ex Member
  • Renewal

Salesperson

Filter your leads by assigned salesperson including unallocated leads. Unallocated refers to leads not assigned a salesperson.


Tag Filter / Tags

Choose a tag filter:

  • ANY of these - Will show all leads that contain any of the tags listed.
  • ALL of these - Will show leads that contain all listed tags in a single profile.
  • NOT ANY of these - Will show leads that do not contain any of the tags listed.
  • NOT ALL of these - Will show leads that do not contain all listed tags in a single profile.

After choosing a Tag Filter, select the Tags you want to filter by.

Note: You can add multiple tag filters by selecting the plus sign (+) to the right of the row as shown below. 


Calls

Select a call type:

  • All - All Leads.
  • Scheduled - Leads with calls scheduled.
  • Spoke To -Leads with calls that have been completed with an outcome of Spoke to.
  • No Answer - Leads with calls that have been completed with an outcome of No Answer.
  • Left Message - Leads with calls that have been completed with an outcome of Left Message.

After selecting a call type, choose a value (More Than, Less Than, Equal) in the dropdown menu to the right. Then enter a numerical value to filter your leads by.


Appointments

Select an appointment type:

  • All - All Leads.
  • Scheduled - Leads with appointments scheduled.
  • Sale - Leads with appointments that have been completed with an outcome of Sale.
  • No Sale - Leads with appointments that have been completed with an outcome of No Sale.
  • Did Not Show - Leads with appointments that have been completed with an outcome of Did not Show.

After selecting an appointment filter, choose a value (More Than, Less Than, Equal) in the dropdown menu to the right. Then enter a numerical value to filter your leads by.

E-mails / SMS

Select an e-mail or SMS type:

  • All - All leads.
  • Manual - Leads with manually sent Emails or SMS generated by a user.
  • Automated - Leads with Emails or SMS that have been generated and sent via the Automated Items feature.
  • Bulk - Leads with Emails or SMS that have been generated and sent via the Bulk Email or Bulk SMS feature located within the People tab.
  • Inbound - Leads with received inbound Emails/SMS.

After selecting an E-mail/SMS filter, choose a value (More Than, Less Than, Equal) in the dropdown menu to the right. Then enter a numerical value to filter your leads by.


Opted out of SMS | Opted out of WhatsApp | Opted out of Email

Filter your leads by opted out status. The default setting is All.

  • All - All Leads.
  • Yes - Leads that are opted out of SMS | WhatsApp | Email.
  • No - Leads that are opted into SMS | WhatsApp | Email.

Guest Waiver Signed

Filter your leads by guest waiver signed status:

  • All - All Leads.
  • Yes - Leads that have signed the guest waiver.
  • No - Leads that have not signed the guest waiver.

Valid Email

Filter your leads by email validation status:

  • All - All Leads.
  • Yes - Leads with a valid Email address.
  • No - Leads without a valid Email address.

Secondary Sales

Filter your leads by one or multiple secondary sale statuses:

  • Potential - The lead has not yet had an appointment for the sale type.
  • Booked - An appointment has been scheduled for this sale type.
  • Attended - The appointment was completed with a No Sale outcome.
  • Sale - The member has purchased this sale type.
  • Not Interested - The member is not interested in this offering.

The following are examples of Secondary Sales filters.


Gender

Select a gender: All, Male, Female, Other, or Unspecified.


Birthday

Select a date range by choosing a From date and a To date.
